5 Tips for conference hosts to thrive instead of survive a busy conference season
It’s late August and we all sense the change in season that is about to occur. The third quarter flows into the fourth, the weather becomes cooler, our children are back in school and our schedules are back to pure chaos. As a conference organizer or host, you’re keenly aware of the drain and burnout that can occur from planning and executing these mission-critical events well.
Conference season can be both exciting and overwhelming, especially for hosts responsible for organizing and managing the event. The risk of burnout is high due to the intense preparation, long hours, and high expectations.
Here are some tips to help your team thrive instead of just survive during this busy time:
1. Resource Assessment & Allocation
This event is when your brand comes to “life” - are you resourced appropriately?
Plan roles and responsibilities realistically and fill in the gaps with outside resources.
2. Prioritize Communication
Regular Check-ins: Hold regularly scheduled meetings to assess progress, address issues, and keep everyone aligned. This prevents last-minute surprises and keeps the team informed.
Clear Instructions: Provide clear, concise instructions for all tasks. Ambiguity can lead to mistakes, stress, and burnout.
3. Leverage Technology
Use Project Management Tools: Tools like Trello, Asana, or Slack can help keep everyone on the same page, track progress, and streamline communication.
Automate Where Possible: Automate repetitive tasks like registration, scheduling, and communication. Manual processes often lead to human error!
4. Stay Flexible and Adaptable
Anticipate Changes: Be prepared for last-minute changes or issues. Flexibility allows the team to adapt without panic.
Reassess those resources!! Do you have the right talent assigned to work on your events? Are you understaffed? You may need to make changes swiftly to ensure success.
5. Reflect and Learn
Post-Event Debrief: After the conference, document and discuss what went well and where improvements can be made. This helps the team learn and prepare better for the next event.
Celebrate Successes: Take the time to celebrate the achievements and successful moments of the conference. It reinforces the value of the team’s hard work.
By implementing these strategies, your team can navigate the challenges of conference season with greater ease, avoiding burnout, and ensuring a successful event.
